Managing Newsletter
Participants and Account
Goal: To help the user of the IMakenews Service create, populate, and manage content.
Prerequisites: Understand the material outlined in Getting Started.
At End of Lesson: After finishing this lesson, the reader will understand how to manage a team involved with the newsletter and complete other administrative activities.
The Managing Newsletters overview will help you
learn how to manage the newsletter subscriber list, add authors and editors, and
complete general administrative activities such as link management, file
management, and billing management. To view the list of options under
Participants and Accounts, click on

you'll get the following box:

1 - Participants
There are two options in Participants: Subscribers and Authors. Click on Subscribers to go to the Subscriber Menu. Let's look at the Quick Tasks entry. Here you can enter an email address to do one of the following:

Under the Subscriber Menu: Let's look at View / Edit Email Addresses, which gives you the option of selecting email addresses from your subscriber lists for viewing and editing.
Subscribers
These are the email addresses of people who
are subscribed to your newsletter. To add a subscriber, click Add New
below. To find a subscriber or select a group of subscribers, click the Search
link below.

The Subscriber and Search Maintenance List gives you various options for managing your subscriber list. You can access it by clicking on [Search] or SEARCH AND MANAGE SUBSCRIBER LIST from the Subscriber Menu.

It's not necessary to make a selection from all the drop-down boxes. Just select what you are looking to find. are found in: is the group listing. whose format is: plain text or formatted HTML. The [Field] drop-downs list fields such as Email Address, First Name, Last Name and so on. Once you've narrowed it down, you tell IMakeNews what you want it to do with the results.
And then...

View them: lists the search results
Copy them to: adds them to another list.
Move them exclusively to: Removes them from the current list and puts them on another list.
Remove them from: Takes them off a list.
Change source code to: ???
Change format preference to: Can switch the subscriber's newsletter preference from HTML to plain text and vice versa.
Permanently delete from all lists, but remember as opted-out: Retains a record of the subscriber who chose to leave the list.
Permanently delete them from all lists: Retains no record of the subscriber.
Submit to process the form. Reset clears your selections. Cancel takes you back to the previous menu.

The subscriber column lists the email addresses of all subscribers to your newsletter. Selecting [REPORT] gives you details on the subscriber's most often viewed articles in the past 20 days for what issue in what timeframe as follows:

You can view the subscriber's most viewed articles for other issues by clicking on [Change Issue] or select the timeframe from the drop-down box.
Sub-Lists lists the number of lists the subscriber is on.
Format indicates which format the subscriber prefers to get newsletters. Choices are HTML, Text, or Not specified.
deletes the subscriber.
From the Subscriber Menu: Let's proceed with PROCESS BOUNCES where you can review the subscriber list to find emails that are being returned undelivered or "bounced." It's a way to remove these subscribers from the list. Before proceeding, ensure that the email is indeed not valid. In same cases, it could be an issue with the subscriber's email server being down.
Overview gives you the newsletter's activities. [Change Issue] is self-explanatory. The drop-down box gives you a range of time you wish to review the data. Below this is the Bounce Manager report.
When a subscriber changes his status to Vacation, he may set his newsletters to receive no email and remain on the list as a subscriber.
The 0 is the number of Subscribers who have been affected the Bounce Type. You choices for Action are Clear & Remove, Clear, and Download. Clear & Remove will delete the subscriber from the list whereas Clear cleans out the Subscriber Bounce list, but keeps them subscribed. Download allows you to obtain an Excel file to review the Bounce stats. Before you submit, you can set a rule on the number of times a subscriber's email has bounced to take action on it. For example, if you have a weekly issue and the subscriber has bounced 1 time, you may choose to let it go. However, if it bounces after four issues, then it is likely to be a bad email address and it may be time to remove it.
Back to the Subscriber Menu: The next item is DOWNLOAD SUBSCRIBER LIST. It gives you the ability to download the list of subscribers to your computer based on rules you set in the form.

Choose which list from which you want to download. Whose source is??? You can narrow it down to the email newsletter format the subscribers get. Also included is a list of checkboxes of information you would like to see in the downloaded file. After clicking CONTINUE, you can View Report in Excel while online and save the file to your computer. If you click on View Report, your browser will open the file using Excel. Click on File > Save As to save the report to your computer.
The last item on the Subscriber Menu is REMOVE SUBSCRIBERS. Here you can remove more than one subscriber from your list by entering the email addresses. Be sure to enter one email address and hit Enter to go to the next line to enter another email address. After you finish entering all addresses, select Remove and remember as opted out or Remove and forget, and Submit.
Let's take a look at the second option under Participants, which is Authors. Authors are the writers and editors who contribute to the newsletter. You can determine a role for each user as well as the actions they can take.
Order By is how you would like to see the contributor names sorted. We haven't entered any authors, so let's ADD NEW and complete the form to add a new contributor. Start selecting the Salutation from the drop-down box, entering the first name, middle initial (if any), and last name.
You have a choice of three access levels:

Enter a password for the user to access the system. It can be up to 10 characters. At this point, this is all the information you need to provide to add the user to the system. The rest of the form is general information you can add, if you wish. It's a good idea to include the Email Address information.

When you're done, hit SAVE and it will take you back to the list of Authors.
2 - Account
To view the list of options under Accounts, click on
and
you'll get the following options for Account:
HTML Links and Elements provide a way for your readers to opt-in (subscribe) to the newsletter, view the newsletter online, and view the newsletter archive online. The IMakeNews system generates the links and you can modify the wording or look of the link.
File Manager lists the files stored in your account. You can View, Rename, Delete, or Add New files. Click Add New to upload files from your computer or Retrieve to obtain files from another Web site.
Publisher Information displays the publisher's contact information for IMakeNews record keeping and it is kept private. Make sure the form is completed for the person responsible for the newsletter and billing.
Billing Information lists the name and contact information of the person responsible for the bill payment. You can add or change credit card and payment option information. This page displays your account options and pricing information.
Publishing Options provides you with the opportunity to select features to apply to your account such as passwords, approvals, letters, content sharing, and account sharing.

Password Protection is for viewing newsletter contents. All users will have to sign in with a name and password to enter the system. This option provides more protection and requires your users to have two passwords to use the system.
Content Approvals is dependent on how your manage your newsletter. If you have editors and authors, then you may want to choose the "Must be approved by an editor" option.
Letters gives readers the opportunity to provide feedback to articles. When choosing "Yes - allow letters by default," every article will allow readers to respond with a letter. If you choose "No," you can still select specific articles to have letters by using the Article View. If you don't want every article to have the Letter option, then select No.
Active Issue determines, which issue is first displayed when the newsletter is on the Web. The latest active newsletter is considered the Active Issue. You can change this by selecting the appropriate issue from the drop-down box.
Content Sharing makes it possible to share articles with other newsletters using the IMakeNews System.
Account Sharing allows you to link more than one user to your account. Perhaps, you're a co-publisher and want to have both publishers share the account. Just enter the account names separated by commas.
Online HTML Editor provides you with a what you see is what you get (WYSIWYG) interface for creating and editing articles online. To use this option, you must be using Microsoft Internet Explorer version 5.0 or higher browsers. If the editor doesn't work, you can turn off the feature and use a simple editor.
Clear Content clears out articles, surveys, letters, and other data. Be aware that once you remove it, it is permanent.
Select the items you wish to remove from the system and click Erase.
